Objective
This SOP explains how to create, configure, and apply discount codes and upsell offers in AesthetiDocs. It also covers how these offers work in clinic and on the online booking system so staff can use them consistently and correctly.
Key Steps
1. Open the Discount Codes area 0:02
In AesthetiDocs, go to the Marketing section in the left-hand menu.
Select Discount Codes.
Click View to open the discount code summary screen.
Use this area to manage all discount codes for the clinic.
2. Review existing discount codes 0:22
On the summary screen, review all active and expired codes.
Check key details such as:
Code type
Number of uses
Current status
Use the Action button to:
View details
Change status to expired
Edit the code
Delete the code if needed
3. Start creating a new discount code 1:02
Click New in the top-right corner.
Choose the type of code you want to create.
Select Standard Discount Code if you want to offer a percentage or fixed amount off a booking or service.
Use this option for promotions, seasonal offers, or loyalty rewards.
4. Configure the discount code details 2:16
Click Continue to begin setup.
Enter a code name manually or generate a random code.
Example setup:
Code name:

Choose whether the discount is:
A percentage off
A fixed amount off
5. Set the redemption and appointment windows 3:30
Define the redemption window to control when the code can be used.
Example: usable from today until the end of August.
Define the appointment window to control which appointments the code applies to.
Example: appointments dated 1 August to 31 August.
Leave these settings blank if the code should be available year-round.
6. Assign practitioners and locations 4:24
Select whether the code applies to:
All practitioners, or
Specific practitioners only
Use practitioner-specific codes to support new staff or targeted promotions.
Confirm whether the code applies to:
All clinic locations, or
Specific locations only
7. Add a description and usage limits 4:58
Enter a clear description of the code.
Example:
10% off all appointments in August
Set a usage limit if needed.
Example: limit the code to 10 uses total.
Decide whether the code can be used:
More than once by the same customer, or
Only once per customer
8. Set minimum purchase and service eligibility 6:04
Decide whether the code requires a minimum purchase amount.
Example: minimum spend of £100.
If no minimum is needed, select No minimum requirement.
Choose which services the code applies to:
All services, or
Specific services/categories only
Select the relevant services before saving.
9. Save and activate the standard discount code 6:37
Review all settings before saving.
Click to create the code.
Once created, the code becomes available for:
Online booking use
In-clinic use by staff
10. Create an upsell offer 7:16
Click New again to create a second code type.
Select the upsell option.
Use this for complimentary or discounted add-on services tied to a qualifying treatment.
Example: offer LED light therapy at a discount when a patient books microneedling.
11. Configure upsell timing and booking rules 7:53
Set a redemption window if the upsell should only be available during a specific period.
Leave the window blank if the upsell should be available all year.
Choose whether the upsell is available:
On the external/online booking system, or
Only for internal clinic bookings
12. Set upsell behavior and linked services 8:25
Open Advanced Settings to configure the upsell.
Choose whether the add-on is:
Free, or
Discounted
Set the appointment duration behavior:
Keep original appointment duration if the add-on fits within the existing booking
Add treatment duration to booking if extra time is required
Select the qualifying services that trigger the upsell.
Example: microneedling and RF microneedling
Select the add-on service being offered.
Example: 15-minute LED light therapy session
13. Create the upsell offer 10:28
Review the upsell configuration.
Click Create to activate the upsell.
The upsell will now appear when a patient books a qualifying service.
14. Apply an upsell in clinic 10:48
Open the Calendar and create a new appointment.
Select a qualifying service, such as microneedling.
When prompted, review the upsell suggestion.
If the patient accepts, click Apply.
If the patient declines, continue without the discount.
Confirm the add-on appears on the booking before saving.
15. Apply a discount code in clinic at checkout 12:05
Open the appointment and go to Checkout.
Find the Discounts section.
Enter a manual discount or search for an existing discount code.
Select the correct code, such as
August 10.Click Apply to deduct the discount from the treatment total.
16. Use discount codes and upsells in online booking 12:53
On the online booking system, the patient selects services as normal.
If a selected service qualifies for an upsell, the system will prompt the patient to add it.
The patient can accept the upsell and continue the booking.
At the end of the booking flow, the patient can enter a discount code in the discount code field.
Once applied, the discount is automatically reflected in the booking and checkout process.
Cautionary Notes
Ensure the correct code type is selected before saving: standard discount vs upsell.
Double-check date windows so the code applies only when intended.
Confirm whether the code should apply to all practitioners, specific practitioners, all locations, or specific locations.
Review usage limits carefully to avoid codes being overused or expiring too early.
Verify service eligibility so the code does not apply to unintended treatments.
Test the code in both clinic checkout and online booking if it will be used in both places.
Tips for Efficiency
Use clear, descriptive code names such as
August 10orNew Patient LED Offer.Create seasonal or campaign-based codes with date restrictions to reduce manual management.
Use practitioner-specific codes to help new staff build their books.
Use upsells for short add-on treatments that fit within existing appointment times.
Keep a simple internal list of active codes, expiry dates, and eligible services for staff reference.
Test one booking after setup to confirm the code behaves as expected before promoting it to patients.
