Objective

This SOP explains how to create, configure, book, and manage multi-session treatment courses in AesthetiDocs. It is designed to help clinic staff set up treatment packages correctly, track sessions clearly, and handle payments consistently.

Key Steps

1. Open the service settings and choose the treatment service 0:09

  • Go to Settings > Services in AesthetiDocs.

  • Locate the service you want to turn into a treatment course (for example, Profilo).

  • Open that service to edit its configuration.

  • Confirm the service already exists before enabling treatment-course options.

2. Enable multi-session treatment courses for the service 0:40

  • Find the multi-session treatment course toggle within the service settings.

  • Switch the toggle on to allow package-based bookings.

  • Use this feature when the service can be sold as a single session or as a course of multiple sessions.

  • Add the session packages you want to offer, such as 2 sessions and 3 sessions.

3. Set package pricing and assign eligible practitioners 1:16

  • Enter the price for each treatment course package.

  • Make sure pricing reflects the total cost of the package, not just a single session.

  • Select which practitioners are allowed to perform or manage the treatment course.

  • Restrict access if only certain staff members should deliver that service.

4. Configure the minimum and maximum time between sessions 1:51

  • Enable the option for minimum and maximum time between treatments.

  • Set the allowed booking window so patients can only book follow-up sessions within the recommended timeframe.

  • Example setup:

    • Minimum time between sessions: 90 days

    • Maximum time between sessions: 120 days

  • Use this to prevent patients from booking too early or too late for the treatment to remain effective.

5. Add a session name, description, and validity period 2:46

  • Enter a clear session name for the treatment course.

  • Add a short description if needed to help staff understand the package.

  • Set how long the treatment course remains valid.

  • Choose a validity period that matches your clinic policy, such as 12 months or 18 months.

  • Review all settings before saving.

  • Click Submit once all package details are complete.

  • Confirm the treatment course is now available for:

    • Internal clinic bookings

    • Online patient bookings

  • Verify the course appears correctly in the service setup after saving.

7. Identify treatment-course appointments in the calendar 3:39

  • Open the calendar/diary to view booked appointments.

  • Look for the treatment-course flag on appointments.

  • Check the appointment card to confirm:

    • The patient name

    • The service booked

    • The session number (for example, session 1 of 3)

  • Use this visual indicator to help reception and front-of-house staff quickly identify package bookings.

8. Review appointment details and package status 4:26

  • Click the appointment to open the full booking details.

  • Confirm the appointment is part of a treatment course and note the session number.

  • Use this view to verify whether the patient is attending a single session or part of a package.

  • This helps staff manage the booking correctly before treatment begins.

9. Book a patient into an existing active treatment course 4:55

  • Open the patient’s booking screen.

  • If the patient already has an active treatment course, select Book from package.

  • Review the remaining sessions and completed sessions shown by the system.

  • Choose the next required session from the package.

  • Confirm the booking so the appointment is linked to the correct course.

10. Review previous session notes from the record tab 5:42

  • Open the appointment and go to the Record tab.

  • Review notes from previous sessions in the treatment course.

  • Use View more to see the full history of notes if needed.

  • Check prior documentation before treating the patient so you can continue care consistently.

  • Keep all relevant session information in one place for easier clinical review.

11. Create a new treatment-course booking for a patient 6:22

  • Go to Calendar > New Booking > Treatment.

  • Select the patient you want to book.

  • Choose the relevant service, such as Profilo.

  • Select the treatment-course option and choose the number of sessions (for example, 3 sessions).

  • Confirm the booking, then complete the appointment creation process.

12. Record treatment and process payment for the course 7:04

  • Start the appointment and complete treatment documentation as normal.

  • Open the Checkout screen to record payment.

  • Choose the payment method that matches your clinic workflow:

    • Full payment upfront

    • Per-session payment

    • Partial payment

  • If using partial payment, collect payment for the current session and leave the remaining balance for later sessions.

  • Complete the payment transaction and save the record.

13. Book follow-up sessions and confirm payment status 8:26

  • Create the next appointment for the same patient using New Booking > Treatment.

  • Select the same treatment course from the patient’s active package.

  • Confirm the system recognizes the patient’s prior payment status.

  • Check the checkout screen to verify whether the session is already paid or whether a balance remains.

  • If the package is set to split per session, the system should only request the remaining amount when due.

Cautionary Notes

  • Ensure the correct service is selected before enabling treatment-course settings.

  • Double-check session pricing, validity period, and practitioner permissions before submitting.

  • Set realistic minimum and maximum time windows between sessions to avoid inappropriate bookings.

  • Confirm whether the package should be paid upfront, per session, or partially before taking payment.

  • Review previous notes before treatment to avoid missing important clinical information.

  • If a patient already has an active package, make sure the booking is linked to the correct remaining session.

Tips for Efficiency

  • Use consistent package names so staff can identify treatment courses quickly.

  • Restrict practitioner access to reduce booking errors and keep workflows clear.

  • Set standard pricing templates for common multi-session services.

  • Use the calendar flags to quickly spot package appointments during busy clinic days.

  • Review the Record tab before each session to reduce time spent searching for prior notes.

  • Standardize payment handling for each package type to make checkout faster and more consistent.
