1. Accessing and Enabling Patient Reviews
Patient reviews are managed from the settings area of your AesthetiDocs account.
How to Access Patient Reviews
To open the reviews settings:
Go to Settings.
Open External Booking Settings.
Select Customer Reviews.
This will open your Reviews Dashboard.
How to Enable Reviews
To turn patient reviews on:
Go to the Reviews Dashboard.
Use the toggle in the top-right corner to enable reviews.
Once enabled, AesthetiDocs can begin collecting reviews after eligible treatments.
When reviews start coming in, they will appear in your dashboard table.
2. Managing Reviews in the Dashboard
The Reviews Dashboard allows you to view, filter, and respond to patient reviews.
What You Can Do in the Dashboard
From the dashboard, you can:
View all patient reviews.
Filter reviews by patient.
See review details.
Respond to patient reviews.
Manage which reviews appear on your booking system.
Responding to Reviews
You can reply directly to reviews from within the dashboard.
When you respond:
The response can be shown on your booking system.
Potential patients can see both the review and your clinic’s reply.
This helps show that your clinic is engaged and responsive to feedback.
3. Configuring Review Display Settings
The advanced settings allow you to control which reviews are published and how they appear on your booking platform.
How to Open Advanced Settings
To configure your review display settings:
Go to Customer Reviews.
Click Advanced Settings.
Adjust your preferred review rules.
Click Save.
Choose Which Reviews Are Published
You can choose the minimum star rating required for a review to appear on your booking system.
For example, you can choose to show:
Reviews with 2 stars or more.
Reviews with 3 stars or more.
Reviews with 4 stars or more.
This gives you control over which reviews are highlighted publicly on your booking platform.
Enable Practitioner Reviews
You can also enable reviews for individual practitioners.
When practitioner reviews are enabled:
Reviews are linked to the practitioner who performed the treatment.
Each practitioner can build their own collection of reviews.
The business can still collect reviews overall.
Reviews may appear under the practitioner during the booking journey.
This is especially useful for clinics with multiple staff members.
4. Configuring the Review Request
The Configure section allows you to control what patients receive when they are asked to leave a review.
How to Configure Review Requests
To configure your review request:
Click Configure in the top-right corner.
Follow the setup steps.
Customise the review request email or message.
Choose which services should trigger a review request.
Choose when the review request should be sent.
Click Apply.
Use Continue to move through the remaining setup screens.
Click Finish once complete.
Customising the Review Request
During setup, you can customise:
Your clinic logo.
The wording of the review request.
Button text.
Default message content.
The services the request applies to.
Whether the request is sent by email or text message.
AesthetiDocs includes default text, but you can edit this to match your clinic’s tone of voice.
Selecting Relevant Services
You can choose which services should trigger review requests.
This is useful because you may not want review requests sent after every appointment type.
For example, you may want to exclude:
Consultations only.
Repeat patient appointments.
Certain treatment types.
Services where a review request is not appropriate.
Only selected services will trigger the review request.
Choosing When the Review Request Is Sent
By default, review requests are sent one hour after treatment.
This is often a good time because:
The patient has left the clinic.
The experience is still fresh.
The patient may be more likely to leave feedback.
You can schedule review requests to be sent up to 24 hours after treatment.
5. Choosing How Reviews Appear Publicly
AesthetiDocs allows you to control how patient information is displayed alongside reviews on your booking system.
This is useful for privacy, data security, and GDPR considerations.
Patient Name Display Options
You can choose whether reviews show:
Full name
First name only
Initials
Anonymous
A preview will show how the review will appear before you finish the setup.
Additional Display Options
You can also choose whether to:
Show or hide the star rating.
Show the review text without the rating.
Show or remove the date posted.
These options allow you to control how much patient information is visible on your public booking platform.
6. Where Reviews Appear on the Booking Platform
Once enabled and configured, reviews can appear in several places on your booking system.
Reviews Page
AesthetiDocs provides a reviews page link.
You can:
Copy the reviews page link.
Open it in your browser.
View the reviews displayed on your booking platform.
Booking Platform Homepage
Reviews can appear as a carousel at the bottom of your online booking homepage.
This helps potential patients see feedback before they begin booking.
Booking Journey
Reviews may also appear during the booking process.
For example:
At the bottom of the booking page.
During the appointment selection journey.
Under practitioner profiles if practitioner reviews are enabled.
Practitioner Profiles
If practitioner reviews are enabled, patients may see reviews linked to individual practitioners.
These can appear:
Under the practitioner selection step.
Inside the practitioner bio.
On the individual review view.
Alongside any clinic response to the review.
