1. Accessing the Receipts Module
Navigate to the Financials section in the left sidebar.
Click on Receipts and Invoices.
Note: This area is only accessible to users with Clinic Administrator permissions. If you cannot see it, your user role needs to be updated.
2. Viewing and Understanding the Transaction List
The main table provides an overview of all transactions. Key columns include:
Client Name: The patient who made the payment.
Type: The nature of the transaction (e.g., Service Sale, Product Sale, Deposit).
Transaction Time: The date and time the payment was processed.
Appointment Time: The scheduled date of the related service.
Clinic Address: The location where the service was booked.
Total Amount: The gross amount paid.
Tax: Any tax applied to the transaction.
Payment Method: How the payment was made (e.g., Stripe, Cash, Card).
3. Filtering Transactions
Use the filters at the top of the page to find specific transactions quickly. You can filter by:
Date Range: (e.g., "Last 30 days").
Status: Paid or Refunded.
Payment Type: (e.g., Deposit, Full Payment).
Payment Method.
Clinic Location.
Specific Service or Product.
Patient Name: To see all transactions for a specific individual.
4. Actions for Individual Receipts
Click the action button (⋮) on the right side of any transaction to manage it.
View Receipt
See a detailed, granular view of the transaction.
Review the Appointment Timeline, showing when deposits and balance payments were made.
Check for any remaining balance owed.
Email Receipt
Send a copy of the receipt directly to the patient's email address.
Download PDF
Download a PDF copy of the receipt for your records or to provide to the patient.
Issue a Refund
5. Exporting Data for Accounting
To export a batch of transactions (e.g., for your accountant or finance software):
Use the date filters to select the desired period (e.g., 1st June to 30th September).
Click Apply to update the list.
Click the Export button.
A detailed export file will be generated and sent to your email address, containing a breakdown of all transactions and links to the individual receipts.
6. Note on Invoicing
The Invoices section is currently in development. A future update will allow you to proactively create and send invoices to patients from this area.
